Exporting and importing employees data using CSV format

    Resolution

    There are three main steps in the process of transferring your employees to a new Sage 50-Canadian Edition file:

    1. Export employees to a csv file
    2. Modify the csv file(if not using sage 50 CA generated export/import file)
    3. Import the csv file into a Sage 50 company file

    We have included more detailed instructions:

    Exporting Employees from Sage 50:

    1. Select File, then Import/Export.
    2. Select Export Records. The Export Records Wizard appears.
    3. Select Export to Sage 50 import format.
    4. Select Next.
    5. Place a dot by Employees as the export record format.Note: Before Clicking Next take note of the export file name and the location , so you will be able to locate the export file after it is created.
    6. You can now select all or some of your employees to export
    7. Select Next.
    8. Select Finish.

    Importing Employees from a non Sage 50 export file:

    Note: The Employee list will need to be modified to the sage 50 format using excel.

    Modifying the csv file (with Microsoft Excel):

    1. Open Microsoft Excel.
    2. Select File, then Open
    3. Browse to the C: drive to select the CSV file. (This file may have been created from another program or manually.)
    4. The first line of the CSV file has to contain a Version Number, Country Code, and the word ‘Employees’:
      • Version:
        • Simply Accounting version 2007 Version Number = 14001
        • Simply Accounting version 2008 Version Number = 15001
        • Simply Accounting version 2009 Version Number = 16001
        • Simply Accounting version 2010 Version Number = 17001
        • Simply Accounting version 2011 Version Number = 18001
        • Simply Accounting version 2012 Version Number = 19001
        • Sage 50 version 2013 Version Number = 20101
        • Sage 50 version 2014 Version Number = 21001
        • Sage 50 version 2015 Version Number = 22001
        • Sage 50 version 2016 Version Number = 23001
      • Country Code based on the status of your version of Sage 50 data file:
        • Canada Country Code = 1
        • USA Country Code = 2
        • French Country Code = 3
        • Australia Country Code = 5
        • International Country Code = 7
    5. For each employee you should have:
      • the employee’s name in column A,
      • the street address in column B,
      • a second street address in column C,
      • the city in column D,
      • the province or state in column E,
      • the zip code in column F,
      • the phone number in column G,
      • the cell phone number in column H,
      • the SIN in column I,
      • the birth date in column J,
      • the hire date in column K,
      • the province used for the taxes in column L, and
      • the number of pay periods in column M
      • Please follow the sample format below. Note: The row # 2 is only for titles and it is not part of the import file.

    Importing:

    1. Open Sage 50
    2. Select File, then Import/Export.
    3. Select Import Records. The Import Records Wizard appears.
    4. Select Sage 50 import format.
    5. Select Next.
    6. Select Back Up to create a backup for the company before importing.
    7. Select NEXT.
    8. Select the BROWSE button besides the Employees box.
    9. Select the CSV file that you want to import into Sage 50 Accounting.
    10. Select NEXT.
    11. Select FINISH.
